Teifi RMS

Every store, one system of record

Purchase orders, transfers, cycle counts, scheduling and per-location reporting, inside the Shopify POS your stores already run. Teifi RMS is retail management for operators who have outgrown what POS covers on its own.

The problem

Every location you add multiplies the manual work

You have the stock, in the wrong store

Inventory sits where it was received, not where it sells. Moving it takes an email and a phone call, and nothing records that it left.

Counts and purchase orders live outside the system

Counts run on printed sheets. Orders get typed by hand, then typed again on receipt. By the next count, Shopify and the shelf disagree.

Nobody can say who moved a number

When stock on hand changes, there is no reason code, no approval and no name against it. By the time finance asks, the person who knew has moved on.

What it does

One layer over the stores you already run

Purchasing, counting, moving stock and scheduling staff all write to the same record as the sale, across every location.

Inventory and replenishment

Stock arrives, moves and gets counted against one record.

  • Purchase orders and scan-and-receive
  • Store-to-store and DC-to-store transfers
  • Cycle counts scheduled by location and SKU
  • Min/max reorder points, incoming stock reserved

Store operations and people

The shift, the task and the supplier sit against the work itself.

  • Employee scheduling and availability
  • Tasks linked to purchase orders and work orders
  • More than one supplier per product
  • Bin-level counts and barcode label printing

Control and compliance

Every movement carries a reason, an approver and a name.

  • Six reason codes on every adjustment
  • Manager approval above your threshold
  • Audit trails built for SOX controls
  • Roles, permissions and per-associate login

How it works

01Receiving

Receiving reconciles itself against the PO

Scan the carton at the back door and the line matches its purchase order and closes. A mismatch routes for approval instead of quietly changing the number.

02Counting

A count that disagrees goes to a manager

Counts are scheduled by location and SKU. Variance is calculated for you, and anything above your threshold waits for a manager before it posts.

04Reordering

Reorder points that count the stock already on its way

Set min and max by location and the reorder fires on its own. Incoming stock can be reserved against a sales order before it lands, so a customer's unit is never sold twice.

The gap

Retail management, without a second system

What exists today

Two half-answers

Shopify POS alone leaves the back office in spreadsheets. A standalone system covers it outside Shopify, and the two have to be reconciled.

  • Orders typed by hand, then again at receiving
  • Counts on printed sheets, fixed by hand
  • Transfers with no record of who sent them
  • Schedules in a separate system

Teifi RMS

One layer, inside Shopify

Each writes to the record your stores already sell on.

  • Purchase orders and receiving
  • Counts with manager approval
  • Transfers with an audit trail
  • Staff scheduling by location

A quick check

Signs your stores have outgrown POS on its own

Two or more sound familiar? That is the gap Teifi RMS closes.

  • Purchase orders start in a spreadsheet, then get keyed in again at receiving.
  • Cycle counts run on printed sheets, and the variance gets corrected by hand.
  • Stock moves between stores with no record of who sent it or when it left.
  • Staff schedules live in a separate system from the stores they cover.
  • Each new location opens with its own workaround.

On your stack

Teifi RMS runs inside Shopify

Your team signs into nothing new. Receiving and counting run on the scanners already on the floor, Zebra units or the iOS camera, and nothing is reconciled back to Shopify afterwards.

Who it's for

Built for retail that got complicated

Multi-location retailers carry more stock, more suppliers and more compliance than one store's worth of process was built for.

Multi-location specialty

One buying team, stock in the right store

Transfers, replenishment orders and counts all run from one place, and every store still reports on its own numbers.

  • Replenishment by location
  • Transfers with in-transit tracking
  • Per-store performance reporting

Regulated retail

Prove every restricted sale was checked

Liquor, cannabis, vape and tobacco. The ID scan reads the license barcode, checks age and expiry, and records the associate who ran it.

  • AAMVA parsing on scan
  • Reporting by location, shift and cashier
  • Cash-only lane routing

Franchise and multi-entity

One network, separate books

Independently owned locations under one brand. Orders route on territory, distance or load, and accounting stays separated by entity.

  • Territorial order routing
  • Multi-entity accounting
  • Network-wide reporting

Enterprise store operations

An audit trail that holds up

Every movement carries a reason code, an approver and a timestamp, and every associate logs in as themselves.

  • Audit trails built for SOX controls
  • Central roles and permissions
  • Exception reporting by store

FAQs

What is Teifi RMS?

Teifi RMS is the retail management layer for operations that have outgrown native Shopify POS. It unifies inventory control, purchase orders, vendor management, employee scheduling and multi-location reporting in one system, with built-in ID verification for age-restricted retail and per-location performance analytics.

How is this different from WorkMate?

If you repair, install or service it, that is WorkMate. If you stock, count, schedule around or order it, that is Teifi RMS. The two share the same Shopify POS foundation, and many retailers run both.

Do we have to leave Shopify POS?

No. Teifi RMS extends the POS you already run. The admin side is an embedded Shopify app and the store side is a POS extension, so stock levels, orders and the audit trail stay in Shopify rather than in a second system alongside it.

Is Teifi RMS off the shelf, or set up for us?

Teifi configures it for each retailer as part of the rollout: your locations, approval thresholds, suppliers, count schedules and the custom fields your stores track.

Will it work with our ERP?

Yes, through Teifi Bridge, our integration layer. Bridge runs in production with Epicor, SAP, Microsoft Dynamics and NetSuite, among others.

Does it work with our single sign-on?

Yes. Teifi RMS connects to Okta or Azure AD over SAML 2.0 or OIDC, and associates on the floor sign in by PIN or their own compliant login.

How do we start?

We start with how your stores run today: where receiving happens, who approves an adjustment, how many locations, and what the ERP has to agree with. Then you see what Teifi RMS does with that, and what the work takes.

Every store, on the same numbers.

Start with how your stores run today.
